Academic Counselling

Upon admission, each student is assigned an academic advisor. The advisor assists students in selecting courses and manages registration, including procedures for adding, dropping, and withdrawing.

The advisor monitors the student’s progress and helps them overcome any issues that hinder their academic performance. The advisor is also responsible for counseling, encouraging, guiding, and warning the student.

An electronic academic advising system is available for students and their advisors. The system provides information on academic study plans, status, progression, and warnings to facilitate faculty advisors and students in monitoring and following their educational progress.

Registration

An Electronic Registration System is available within PAAET’s student electronic services account to help conduct the registration seamlessly. Students receive multiple online appointments throughout the registration period to access the Electronic Registration System and register for courses.

Early registration takes place in the second half of the semester or the week before classes start, according to the student’s needs and the availability of the course(s).

Students are not allowed to register for any course for which they have not passed the prerequisite course.

The regulations mentioned above also apply to the summer semester.

Students must adhere to the registration and late registration dates as outlined in the timetable provided by PAAET for each semester.

Late registration

Late registration is allowed during the first three days of study in each semester, provided the student has obtained the approval of their advisor and the endorsement of the Dean of Admission and Registration.

The Dean of Admission and Registration may allow new scholarship students. Recently transferred students must register by the end of the second week of study.

Late registration fees are payable by a decree of the Director General, except for scholarship students.

The regulations mentioned above also apply to the summer semester.

Failure to Register (Non-attendance)

A student who fails to register for any course in a regular semester will be considered non-attending and will not be allowed to continue in the program until the Student Affairs Committee has accepted their excuse for failing to register.

A student shall be considered non-attending if they are absent from study in the College for one semester or more without registering for any courses.

Retaking Courses and Re-registration

A student who receives an F in one or more courses during their first semester of college study may register again for a maximum of two of the failed courses during the following semester.

According to article (55), the original Failure (F), Absenteeism (HM), failure to attend final exam (FA) grades shall be erased from their record, and the grade point average shall be recalculated if they pass the course(s) when repeated.

A student cannot be re-registered in the following circumstances:

  1. Students are expelled when their grade point average or specialty point average has fallen below the required level.
  2. Students are expelled when they fail to complete their program requirements within 150% of the program time frame.
  3. Students expelled due to a low GPA or exceeding the length of stay are allowed to register for the remaining credits at their own expense. Only if the remaining credits in the student’s study plan are 37 or below, and for a maximum of three semesters of study.
  4. The student has been expelled because of repeated cheating.
  5. The student has been expelled as a result of a punitive decision.
  6. The student has withdrawn from all courses.
  7. The student has discontinued their studies.

Registration while on Probation

A student on probation may register for only the minimum credit load, which is three credits below the average study load. e.g., BSN program 121 credits in 8 semesters, the average study load is 15 credits, and the minimum is 13 credits

Study Load

The study load refers to the number of credits for which a student is permitted to register in any one semester. It is calculated by dividing the total number of credits by the number of semesters per program.

The normal study load of credits that a student may register for in a semester is 16-17 credits. BSN= 15, SBSN=17, ADN= 15

The minimum number of credits a student may register for in any regular semester is three (3) credits less than the normal load, as defined in 7.2 above. i.e., 13-14 credits.

The maximum number of credits a student may register for in any regular semester is three (3) more than the normal load, as defined in 7.2 above.

Nursing students typically register for a fixed number of credits per semester as they progress through their program. The fixed load may vary from the normal study load.

In exceptional circumstances, a student may register for fewer credits than the required minimum load with the approval of the College Academic Affairs Committee, their advisor, and the endorsement of the Dean.

A student may register for a maximum of 21 credits, provided their graduation depends on obtaining those three credits.

The maximum number of credits that an ADN student may register for in a summer semester is seven (7) credits, except a student who is expected to graduate in the summer or the following semester. In this case, the student is allowed to register for a maximum of nine (9) credits. The maximum number of credits that a BSN student may register for in a summer semester is nine (9) credits, except for a student who is expected to graduate in the summer or the following semester. In this case, the student is allowed to register for a maximum of 12 credits

A student on probation is not allowed to register for courses with a total credit value that exceeds the minimum requirement by more than one credit, except for a student who is expected to graduate in the same semester. In this case, the student is allowed to register for courses whose credits exceed the minimum by two credits.

Listening System

The Dean of the College may permit the following to register as listeners in specific PAAET courses, subject to the availability of places.

  1. Employees in the College, according to the nature of their job, are provided that there is no conflict with their job, and after the approval of their direct Head of Department.
  2. Those who have obtained a secondary school certificate.

Registration for the listening course is during the late registration period. The Dean may allow registration later than this period, provided it is completed by the end of the second week after the commencement of study.

Students registered as course listeners are not allowed to sit the final examination for those courses.

Students registered as listeners for courses are required to pay the specified registration fees.

Transfer Regulations

A student is allowed to transfer from one college to another within PAAET, or from an accredited institution to a recognized comparable college, provided that there is an available position and according to the annual admission plan.

Transfer applications must be submitted to the Dean of Admission and Registration at the specified time and under the following conditions:

  1. The student must get the approval of the concerned college for transfer.
  2. The student must meet the college's admission requirements to which they wish to transfer.
  3. The student must not have been expelled due to a punitive decision.
  4. The student must have completed at least 14 credits before applying for transfer.
  5. The student cannot transfer to another college if they have completed more than 45 credits for the Bachelor’s Degree in Nursing or more than 30 credits for the Associate Degree in Nursing.
  6. The student must not have withdrawn from study in any of the PAAET colleges.
  7. The student must not have been expelled from PAAET colleges because of non-attendance.

Students' records must be transferred when they transfer from one college to another. The results of courses taken before the transfer will be used to calculate the student’s grade point average.

A student may have equivalized courses, as stated in their record,  with courses in the new specialty, with the approval of the relevant academic department, if they transfer from any college of PAAET.

Credits from colleges or institutes outside PAAET may not be included in the transferred student’s grade point average.

No more than 50% of the credits required for graduation at the student’s previous college may be transferred to the new college.

The academic department shall specify any course(s) for which the student shall be exempt. The course(s) considered for equivalence should be similar to the course(s) the student has passed, with a minimum grade of C at their previous college.

If a student receives an exemption from one or more courses after the official withdrawal date from the course(s), their registration for the course(s) is withdrawn without penalty.

The student’s period of study in approved courses at other colleges and institutions is included in the maximum period of study allowed in the college, based on the normal load of any one semester.
